Internal AI Knowledge Assistants

Help your team find answers in company knowledge.

Give employees a conversational way to search approved policies, product information and operating documents. Answers should refer back to source material and respect the information each person is allowed to access.

An employee’s question retrieves relevant company guidance and returns an answer with source references. Documents outside their access are excluded.

Service scope

Make approved company knowledge easier to find and check.

Use this service when employees repeatedly search policies, manuals or operating documents to answer questions. We build an internal assistant around selected sources, the people who own them and the access each employee should have.

Approved knowledge sources

Identify the documents and systems that contain reliable answers. Review formats, duplicates and outdated material, then agree which content should be available to the assistant.

Assign content owners and define how additions, changes and removals reach the search index.

Retrieval with source references

Retrieve relevant passages before composing an answer, and show references back to the underlying material. Employees can inspect the source and decide whether it answers their question.

Define what the assistant should do when sources disagree, a question is ambiguous or there is no adequate evidence.

Access and answer quality

Apply the agreed access model when retrieving information, including differences between teams or roles. Test that restricted documents do not appear in unauthorised results.

Evaluate realistic questions for source relevance, answer accuracy and useful escalation, rather than checking only whether the assistant returns text.

Where it fits

Illustrative project examples. The work included is agreed for your project.

Internal policy questions

Employees ask how a published policy applies, receive a sourced answer and can open the relevant section. Questions that the documents cannot resolve are directed to the policy owner.

Technical and operational guidance

A service team searches approved manuals and procedures in one place. Answers point to the relevant source so the employee can verify instructions before acting.

What you receive

A knowledge assistant grounded in your selected sources.

The written proposal defines the deliverables and acceptance checks for your engagement. A typical implementation includes the following.

  1. Source and access plan

An agreed source inventory, content owners, employee access model and refresh or removal process.

  2. Working assistant

The agreed search and answer interface, source references and behaviour for unanswered or ambiguous questions.

  3. Answer evaluation

A question set reviewed with your team, covering useful answers, missing evidence, conflicting material and access restrictions.

  4. Content handover

Instructions for maintaining sources, checking refreshes, reviewing feedback and escalating content issues, with support separately scoped.

What helps us scope the work

Bring a representative set of documents and questions employees ask today. We agree access and data handling first; please do not send confidential source material through the initial enquiry form.

Questions about Internal AI Knowledge Assistants.

Does this train a model on all our documents?

Not necessarily. Retrieval can supply selected relevant passages to a model when answering. The architecture and data handling are agreed for your environment.

What if the documents do not answer the question?

The assistant should say the answer is unavailable or needs checking, then point to an owner or escalation route rather than inventing policy.

How do documents stay current?

We define content ownership, refresh behaviour and tests for changed or removed material. Ongoing content maintenance is an operational responsibility.
